Doula Billing Fees and Payment Process

You should be able to understand how a visit becomes a payment. Review the standard billing arrangement, the information needed for approval, and the difference between a scheduled payout and a bank deposit.

Understand the fee before you begin

Under the standard arrangement, Doulas of California retains 15% of the payer’s reimbursed rate and allocates 85% to the doula, subject to the signed agreement. Ask the onboarding team to explain your applicable arrangement before accepting clients through the platform.

For illustration only, if the payer’s reimbursed rate for a service were $100, a 15% fee would be $15 and the doula allocation would be $85. This is arithmetic, not a quoted service rate or promise of reimbursement. Confirm any separately arranged pathway and any third-party fees in writing.

Each visit has its own payment date

The standard schedule is 45 calendar days from the original visit submission to Doulas of California. It is not measured from the date care occurred or from the next fixed pay period. Approval, correction, and resubmission do not restart the original submission clock.

Submit a visit promptly after completing it and keep the original submission record. Your account’s scheduled date helps you plan, while the approval and payout status tell you whether the visit is ready for transfer.

What can hold a payment

Payment depends on an approved completed visit, biller approval, complete records, a ready Stripe payout account, and available agency funds. Missing documents or another unresolved requirement can hold payment beyond the scheduled date. Address requests for information through the approved portal.

Insurance reimbursement and agency disbursement are separate events. A claim rejection does not automatically authorize a corrected claim, and a scheduled agency payment does not mean a payer has paid. Ask support about the specific record rather than submitting a duplicate visit.

Track the transfer and deposit

Use the visit’s identifier, service date, original submission date, scheduled payment date, and status when asking a payment question. Keep client information inside the secure account rather than sending it in a public contact form.

A Stripe transfer and the final bank deposit can occur on different dates. Review the signed agreement for the terms that apply to your practice. Read the billing overview or contact our team for help understanding your arrangement.
